The practice is expanding and seeking a dedicated Case Manager to support its continued growth and excellence.
The Role
We're looking for an experienced Case Manager ready to take ownership of case progression and make an immediate impact. You'll manage a busy caseload spanning probate petitions, personal injury demands, court deadlines, and client communications. This role requires someone who thrives under pressure, communicates confidently with clients and courts, and ensures nothing falls through the cracks.
What You'll Do
- Probate Case Management: Lead California probate and estate cases from petition to final distribution, including DE111 petitions, DE121 notices, DE147 forms, bonds, publication requests, notices to government agencies, and heir communications.
- Court Filing & Deadlines: Handle e-filing through One Legal, coordinate with court clerks, track hearings, and ensure all critical deadlines are met without exception.
- Docket Oversight: Maintain accurate case calendars, ticklers, and tasks in Clio legal management software. Run weekly docket reviews with the attorney and assistant to keep cases moving smoothly.
- Form & Document Preparation: Generate retainer agreements, releases, court documents, and other legal correspondence with accuracy and attention to detail.
- Client Communication: Serve as the primary point of contact for clients, providing status updates, managing expectations, and responding to inquiries professionally and promptly.
- Personal Injury Support: Assist with demand letters, settlement coordination, and personal injury case administration as needed.
What We're Looking For
- Proven experience as a Case Manager or legal assistant in probate, estate planning, or personal injury law
- Strong knowledge of California probate procedures and court filing requirements
- Proficiency with legal management software (Clio experience preferred)
- Experience with e-filing systems and court administration
- Excellent organizational, time management, and multitasking abilities
- Outstanding written and verbal communication skills
- Detail-oriented with the ability to manage complex timelines and deadlines
- Professional demeanor and ability to build client rapport
- Proactive problem-solver who gets excited about challenges rather than overwhelmed by them
