The Role
Chainguard is rapidly expanding its EMEA recruiting operations, and we're seeking a contract Recruiting Coordinator to be the operational backbone of our recruiting team. You'll own the candidate experience, manage complex multi-timezone scheduling, and drive efficiency across our EMEA recruitment engine. This is a highly visible, hands-on role where your organizational excellence directly impacts both candidate satisfaction and hiring velocity.
What You'll Do
- Manage End-to-End Interview Scheduling: Own interview coordination for two EMEA recruiters, seamlessly managing scheduling across UK, European, and APAC time zones without errors or delays
- Ensure Exceptional Candidate Experience: Lead all candidate communications, ensuring every touchpoint—from initial contact to offer—is timely, professional, and reflects Chainguard's high standards
- Maintain ATS Data Integrity: Update and manage candidate records in the applicant tracking system, ensuring accurate pipeline data that is audit-ready at all times
- Prepare Interview Materials: Proactively develop and distribute interview agendas, materials, and panel briefs ahead of each interview loop
- Identify Process Gaps: Flag scheduling conflicts, bottlenecks, and operational inefficiencies proactively—anticipate issues rather than react to them
- Support Recruiting Operations: Assist with job postings, reporting, candidate pipeline analytics, and internal logistics to keep the recruiting engine running smoothly
- Coordinate Across Stakeholders: Work independently with hiring managers, interview panelists, and candidates to manage standard workflows without requiring direction
About You
- Recruiting or Coordination Experience: 1–2+ years of recruiting coordination, executive coordination, or high-volume administrative experience
- Exceptional Organization: Proven ability to manage multiple competing priorities simultaneously without allowing tasks to slip through the cracks
- Strong Communication Skills: Clear, concise, and professional writing and video communication across all channels
- Sense of Urgency: You understand that scheduling delays hurt candidate experience and cost the business—you move with appropriate pace
- Independent Operator: Comfortable working autonomously in a remote, fast-paced environment; you identify what needs to be done and execute without waiting for direction
- Multi-Timezone Confidence: You manage complex timezone logistics effortlessly and think naturally across global schedules
- ATS Experience (Preferred): Experience with Greenhouse or Gem is valuable, though not required—you pick up new tools quickly
